Account settings & keypad controls
Overview
Settings → Account Settings holds the things that apply to your whole hotline: your name and timezone, your currency, the key callers press to go back, automatic top-ups, and the extra fields you keep on contacts.
A second page, Keypad Controls, decides what each key on the phone does while a caller is listening to a recording — pause, skip back 15 seconds, jump to the next recording, and so on.
Account Settings
Important: each section has its own Save button. Saving General does not save Phone, and saving Phone does not save Auto Top-Up. Change a section, then press the Save button belonging to that section before moving on.
General Settings
- Account Name — what your account is called. Used in emails and available in spoken scripts as
{account_name}. - Currency — USD ($), EUR (€), GBP (£) or ILS (₪). Everything on the Billing and Statistics pages is shown in this currency. Note that choosing a currency at checkout on Plans & Add-ons also sets this.
- Timezone — the timezone everything else follows: scheduled tasks, log timestamps, and call traces. Searchable list of every timezone.
- Location (city) — the place zmanim and Shabbos / Yom Tov times are computed for, used by Jewish-calendar scheduling. A task can override it with its own city. Until you set one, the system guesses from your first phone number.
Phone System Settings
- Account PIN — a PIN code for secure access. Up to 20 characters.
- Phone Number — a contact number for your account.
- Default Recording URL — a fallback audio file, used where no specific audio has been chosen. Must be a full URL.
- Key to Go Back — the key callers press to return to the previous menu, for example
*,#or0. Up to 5 characters. - Enable Back Navigation — turn going back on or off across the whole hotline.
- Show Phone System Reference fields — off by default. When off, the Phone System Reference section (which carries the Extension ID) is hidden on every form in the app. Turn it on if you use extension IDs to reach items directly from the keypad.
Auto Top-Up Settings
Automatically adds money to your balance when it runs low.
- Enable Auto Top-Up — the switch. The two amount fields only appear once it is on.
- Threshold Amount (USD) — when your balance falls below this, a top-up is triggered.
- Refill Amount (USD) — how much is added each time.
Both amounts are entered in US dollars. If your account currency is something else, they are converted when your card is charged, and the helper text under Refill Amount shows a live estimate ("Card will be charged approximately €X EUR").
Auto top-up pauses itself for 3 days after a temporary card problem, and switches itself off after a hard decline or if no default card is on file. Either way you get an email. The full rules are in Billing.
API Keys

YiddishLabs API Key — optional, hidden as you type, with a reveal button.
This does not turn transcription on. Transcription works without it and is charged to your hotline balance. What the key does is move the cost: with your own key in place, transcription charges are billed directly to your YiddishLabs account instead of your balance. See Billing and Audio player (Library).
There is no OpenAI key or any other API key field here. Text-to-speech voices need nothing from you.
Contact fields
Extra details you want to keep on every contact — for example which Yeshiva they learn in. Each field shows on the contact card and in exam results, and can be spoken in dynamic text-to-speech as {its_key}.
Press Add a field for each one:
- Field name — what you call it, up to 60 characters. For example
Yeshiva. - Type — Text, Choice list, Number or Date.
- Choices — one per line — only shown for a Choice list. One option per line; blanks and duplicates are dropped.
Fields can be dragged into any order and collapsed while you work. Renaming a field keeps its underlying key stable, so values already saved on your contacts are never orphaned. Press Save Contact Fields when you are done.
An "Admin: Account Reference" section showing the account UUID also exists, but it is support only.
The Account panel on My Hotline
You do not have to leave the My Hotline page for the everyday settings. The Account button in the header opens a slide-over with the basics:
- Account name
- Timezone — "Schedules and times everywhere follow this."
- Callers can press a key to go back
- Which key goes back? — only appears when going back is on, and here the choice is limited to
*,#,0,7,8and9. (The full Account Settings page accepts any key.)
A link at the bottom, All account settings, opens the full page.
Danger zone
At the bottom of the same panel, collapsed, sits Delete entire hotline…. It tells you exactly what will go — every extension in your hotline and the recordings inside your audio players — and confirms that your phone numbers, contacts, labels, in-call keys, billing and call logs are not touched. Afterwards your number answers with a fresh, empty main menu.
You must type DELETE in capitals to confirm. Anything else and nothing is removed.
Keypad Controls
Advanced → Keypad Controls, also reachable from the Keypad Controls button in the Account Settings header.
These are the keys that work while a recording is playing. They do not affect menus — a menu's keys are set on the menu itself.

Filter by Type or Action. Deleted rows are kept and can be restored from the bulk actions menu.
Creating or editing a control
Basic Information

Type — currently offers only All, meaning the key behaves the same way in every listening situation. (Situation-specific keys are set from the In-call keys panel on My Hotline, described below.)

Ask for confirmation — only shown for delete and archive. When on, the caller must press
1to confirm; any other key, or silence, simply carries on playing.
Transfer Configuration (collapsed) — appears for the bookmark action.
- Transfer Type — for bookmark, this is Bookmark.
- Selection — which bookmark the caller's position is saved into. Searchable.
Label Configuration (collapsed)
- Labels — restrict this key to callers carrying certain labels. Leave empty and the key works for everyone.
File Configuration (collapsed) — appears for the play a file action.
- Audio File — the recording played mid-playback when the key is pressed. Uses the usual audio selector.
The keys you start with
Every new account is seeded with a working set, so callers can navigate recordings from day one:

There is also a hidden no_input rule scoped to "Play everything, one after another": when a caller presses nothing, playback moves on to the next recording by itself.
A few of these seeded actions (previous, quieter, normal volume, slower, normal speed) are not offered in the Action dropdown when you create a new control. They keep working, and you can still change them from the In-call keys panel on My Hotline.
Listening situations
An audio player can present itself in several ways, and a key can behave differently in each. The situations are:

A key saved for one specific situation beats the "every library type" key, exactly as the phone system resolves it at call time.
In-call keys on My Hotline
The In-call keys button on the My Hotline page opens the friendly version of all this: "Keys while listening — what each key does while a caller is listening to recordings. Tap a key to change it."
You get a phone keypad with every key's current job written on it, a row of tabs for switching between the listening situations above, and a tap-to-edit panel per key. A link takes you to the full Keypad Controls list when you need it.
Spoken instructions for listeners
Inside the same panel is a generator that writes the announcement for you. It reads your in-call keys and your go-back key and drafts a script, for example "press 2 to pause, press 3 to skip forward…".
- The wording — the draft, fully editable. Exactly this text becomes the recording.
- Voice — Alloy, Echo, Fable, Onyx, Nova or Shimmer. Echo is the default.
- Save the audio into — a new "Instructions" audio player, or any existing one.
Press Generate & save and the audio is created and filed away, ready to use anywhere — including as the file behind a "play a file" key. See Recordings, uploads & text-to-speech.
Tips
- Set your Timezone before you build any scheduled tasks. Everything time-related reads from it.
- Keep the seeded keys unless you have a reason to change them. Callers who use several hotlines expect
2to pause. - If you put delete on a key, turn Ask for confirmation on. It is the difference between a slip of the finger and a lost recording.
- Generate the spoken instructions once and play them from a key. Callers rarely discover controls nobody told them about.
